Personio pricing: what it costs and what is not on the page

You want one number and Personio gives you a starting rate and a demo button. Here is what its own pricing page says, what it leaves out, and what to ask before you sign. Checked against the vendor page in September and October 2026.

How much does Personio cost?

Personio's pricing page says it starts from €7.60 per month per employee. That is a starting rate, not a price list. The actual price is a custom quote after a demo, and there is a one-time fee that depends on company size. The yearly subscription has a minimum run time of 12 months. Extra apps raise the monthly figure. Personio does not publish a full price table, so any single number you see elsewhere is an estimate.

Competitor prices change. The Personio column is from its own pricing page: the details were read on 28 September 2026 and the starting price was confirmed again on 2 October 2026. On 5 October 2026 the page returned HTTP 429, so we could not re-read it. Personio is a trademark of its owner. Personio quotes in euros and HR FLARE in US dollars, and we have not converted either.

Why a starting price is not your price

"Starts from" is the most important phrase on Personio's pricing page. A starting rate is the lowest figure that can apply, usually to the smallest plan with nothing added. It tells you the vendor's ceiling for how cheap it can get, not what a company like yours will pay. The page says the actual price is a quote, so the honest answer to "how much does Personio cost" is: more than €7.60 per employee a month in most real set ups, by an amount only Personio can tell you.

That is not unusual for a platform that sells to companies with 10 to 10,000 employees. A quote lets the vendor size the price to a headcount, a plan and a set of apps. The cost to you is that you cannot budget from a web page. You need a demo, and the demo is where the number appears.

What moves the quote

Personio's page names several things that shape the final price. Here they are, in the order most buyers feel them.

  • Headcount. The rate is per employee a month, so the total grows with every person you add. Ask how it counts people who leave, part time staff and contractors.
  • The plan. Personio sells plans in tiers, and its Core plan includes preliminary payroll. Its Pro plan lists unlimited legal entity management, which matters only if you run several companies.
  • Extra apps. Recruiting and performance come as extra apps, and a full Personio Payroll is an add-on. Each one raises the monthly figure.
  • The one-time fee. The page says the setup fee depends on your company size. It is a separate line from the monthly price and easy to miss when you compare quotes.
  • The term. A yearly subscription has a minimum run time of 12 months. If your team is shrinking or you are not sure yet, that is a commitment to weigh.

What we could and could not verify

We read Personio's pricing page on 28 September 2026 for the plan details and the setup fee wording, and again on 2 October 2026 to confirm the €7.60 starting rate. When we went back on 5 October 2026 to refresh the page for this article, it answered HTTP 429, which means too many requests, and we could not read it. We did not fill the gap with a number from a review site. Third party price tables often quote older rates that Personio has since changed, and a figure without a date and a source is worse than none.

So treat the figures here as accurate for 2 October 2026 and check the live page before you rely on them. If the page has changed, the demo is the only place to get a binding number anyway.

What to ask on the demo

Salespeople answer the questions you ask. These are the ones that turn a starting rate into a budget line.

  • What is the total monthly price for my exact headcount, with the apps I need today?
  • What is the one-time setup fee, in euros, and what does it include?
  • What happens to the price if I grow or shrink by 20 percent during the term?
  • Is preliminary payroll enough for my accountant, or do I need the Personio Payroll add-on?
  • Which apps are separate products, and what does each cost per employee?
  • What is the minimum run time, how do I cancel, and when does the notice period start?
  • Are the prices in euros excluding VAT, and what does the quote say about price rises at renewal?
  • Which integrations I use are included, and which cost extra?

Write the answers next to the quotes from any other vendor you are looking at. Put the one-time fee and the first year total in the same column, otherwise a low monthly rate with a high setup fee looks cheaper than it is.

Who is Personio's pricing built for?

Personio says it caters to companies with 10 to 10,000 employees, and its pricing follows that. A company with an HR team, several locations or a payroll process will likely value the Core plan's preliminary payroll, the option of more apps and a vendor that has a long track record. For that company, a quote and a 12 month term are normal procurement.

A team of 8 where one person handles HR on the side sees it differently. The setup fee and the term are sized for a larger buyer, and a demo plus quote cycle for leave requests and timesheets can feel like a lot. That does not make Personio wrong for you. It means you should price it properly and compare it with options that publish their rates.

What a free tool would not cover

HR FLARE publishes flat prices by team size: free for up to 5 employees with every feature, $29 a month for up to 10, $79 for up to 30 and $149 for up to 75. It covers employee profiles and documents, clock in and out, timesheets with approval, leave with balances, expenses with receipt scanning, job postings, e-signatures and performance reviews. Everyone plans their own week and the team sees the combined schedule with approved leave.

It is not a payroll engine. Payroll is kept as records and payslips (gross, deductions, net), so your accountant or payroll provider still calculates wage tax and social security. Leave requests carry a reason, and there is no manager built shift rota. If preliminary payroll inside the HR tool is a hard requirement, Personio does that and we do not.

Comparing a quote with a flat price

Do not divide our flat price by headcount and set it against Personio's starting rate. The two are priced on different logic, in different currencies, and Personio's real figure is a quote. The only fair comparison is your actual quote from Personio, with its setup fee and apps, next to what you would pay HR FLARE on the same date. Ask for the quote, put it in a spreadsheet, and decide on the total for the first year.
